The Problem

EvenUp's annotation department plays a critical role in refining AI-generated outputs to create high-quality demand packages and letters for personal injury lawyers. The team consists of over 100 experts—both full-time employees and contractors—who are evaluated on different performance metrics, such as the number of annotations completed and pages reviewed per hour.

These metrics influence full-time employees’ bonuses and contractors’ compensation, so it’s important that they’re both accurate and accessible to team members. 

Initially, EvenUp relied on Airtable to manage performance tracking, but sharing this data with team members required expensive additional user seats. A Google Sheets alternative also proved ineffective due to real-time update issues.

EvenUp needed a scalable, cost-effective solution that could:

• Provide real-time performance tracking from data housed in BigQuery
• Allow employees and contractors to view their own metrics and see how they compare against others
• Maintain data security with role-based access (e.g. admins, employees, contractors)
• Eliminate reliance on costly Airtable seats

The Solution

EvenUp’s Annotation Operations Lead spearheaded the development of a no-code internal tool using BigQuery and Softr. The new dashboard enables team members to track their performance in real time, with visibility rules based on user roles.

Key features of the tracker include:

• BigQuery integration: Syncs directly with EvenUp’s database, ensuring real-time metric updates.
• SSO authentication: Secure login for all employees, contractors, and vendor BPOs.
• Role-based access: Visibility settings based on user roles; conditional visibility based on email, ensuring employees see only relevant data.
• Performance rankings: Displays ranked performance metrics for team members for the last seven days, fostering a culture of healthy competition.
• Self-serve metrics tracking: Employees and contractors can independently monitor their metrics; contractors can track and monitor their earnings based on performance.‍
• QA feedback workflows: The QA team also uses the platform to submit feedback to team members and improve the quality of annotations.

The Impact

The implementation of the Softr-powered performance tracker has improved how EvenUp manages its annotation operations team, including: 

• Increased transparency and engagement: Employees and contractors now have a clear view of their progress, fostering motivation and competition.
• Enhanced bonus program: By displaying real-time standings, EvenUp introduced a higher bar for employee performance bonuses, driving better results.
• Significant cost savings: The new system saves EvenUp ~$6000/month compared to using Airtable, significantly reducing costs while increasing transparency.

EvenUp plans to expand the dashboard’s capabilities, introducing new metrics, team lead views, and ranking systems. The legal operations team is also looking at migrating from Airtable to Softr to further optimize costs.
